SCANNING PROCESS

Document scanning is a complex process. Converting large volumes of paper to digital format is a multifaceted operation requiring a variety of skills, costly equipment and infrastructure.

 
 

Here are the basic steps of our 'Best Practices" scanning procedure:

  1. PREPARE DOCUMENTS - Manually inspect and prep all documents to make sure they are arranged, ready for scanning and free of staples, clips, pins, post-it notes, and additional binders or adhesive materials.
  2. SCAN THE DOCUMENTS - Our state-of the-art scanners process high volumes of documentation. Trained operators monitor closely the scanning procedure at all times, to ensure quality of service.
  3. INDEXING, RECOGNITION AND VALIDATION - Recognition and content management are important steps of our scanning process. Special software is used to index and organize your digital documents, so that you can access the information you need quickly and effectively.
  4. QUALITY CONTROL - Using traditional scanners many images will come out too light too dark. Century uses the latest in technology to ensure each image is automatically adjusted to be crisp clean and as readable as the original; sometimes better.
  5. RELEASE - Images and associated indexes are transferred to CDs or your document management system.
  6. POST-PROCESSING - Paper documents may need to be placed back in their folders and file cabinets, moved to off site storage or destroyed.
